Projects are the foundation of how work gets done in Workly. Each project is a container for tasks, files, and conversations — giving your team a dedicated space to plan, track, and complete work together.
Create a new project
To create a project:
- Click the + New Project button in the sidebar or tasks page
- Enter a project name
- Optionally add a description to give your team context
- Choose the project visibility — public (visible to all workspace members) or private (invite-only)
- Click Create
Your new project will appear in the sidebar under your workspace. You can start adding tasks immediately.
Project views
Workly gives you multiple ways to view your project’s tasks. Switch between views using the tabs at the top of the project.
Board view
The board view displays tasks as cards in a Kanban-style layout organised by status columns (e.g. To Do, In Progress, Done). Drag and drop tasks between columns to update their status. This view is ideal for visual workflow management.
List view
The list view shows tasks in a detailed table format with sortable columns. You can see task name, assignee, priority, due date, status, and any custom fields at a glance. Click any column header to sort by that field.
Calendar view
The calendar view plots tasks on a monthly or weekly calendar based on their due dates. This helps you visualise deadlines and plan your team’s schedule. Tasks without due dates won’t appear in this view.
Project settings
Click the settings icon on any project to configure:
- Project name and description — Update the project details at any time
- Visibility — Switch between public and private
- Sections — Add custom sections to organise tasks within the project (e.g. Sprint 1, Sprint 2, Backlog)
- Custom fields — Add custom columns to track additional data on tasks
Add members to a project
To add team members to a project:
- Open the project
- Click the Members icon in the project header
- Search for and select workspace members to add
Only project members can view and edit tasks in private projects. Public projects are visible to all workspace members.
Project overview
Each project has an Overview tab that shows a summary of the project’s progress, including task counts by status, recent activity, and key metrics. This gives project leads a quick snapshot of how work is progressing.
Delete a project
To delete a project, open project settings and click Delete Project. This action is permanent and will remove all tasks, files, and activity within the project. You’ll be asked to confirm before deletion.
