Workly is built for teamwork, and adding people to your workspace is straightforward. You can invite team members during onboarding or at any time from within the app. If you haven’t set up your workspace yet, start with creating your account.
How to invite team members
During workspace setup
When you first create a workspace, Workly asks you to invite teammates as part of the setup process. Enter their email addresses one at a time (pressing Enter after each) or paste multiple emails separated by commas or semicolons.
Click Invite to send all invitations at once, or click Skip to do it later.
From the Invite User dialog
To invite someone after your workspace is set up:
- Open the Invite User dialog from your workspace
- Enter the person’s email address
- Select the workspace you want to invite them to
- Click Send Invitation
The person will receive an email with a link to join your workspace. You’ll see a confirmation message once the invitation is sent.
Create a new workspace while inviting
If you need to invite someone to a workspace that doesn’t exist yet, you can create one directly from the invite dialog. Click Create New Workspace, enter the workspace name and description, set whether it’s public or private, and then send the invitation.
How invitations work
When you invite someone, here’s what happens:
- They receive an email with an invitation link
- If they already have a Workly account, clicking the link adds them to your workspace
- If they don’t have an account, they’ll be prompted to sign up first, then the invitation is accepted automatically
Invitations are valid for 30 days. If an invitation expires, you can send a new one.
Domain-based access
If you enabled the option to let anyone with your email domain join automatically during workspace setup, teammates with the same domain (e.g. @yourcompany.com) can discover and join your workspace without needing an invitation.
This is useful for larger teams where sending individual invitations isn’t practical.
Managing invitations
- Duplicate invitations — Workly prevents sending duplicate invitations. If someone has already been invited or is already a member, you’ll see a message letting you know.
- Permissions — You need the appropriate permissions to invite users to a workspace. If you see a permissions error, check with your workspace administrator.
- Pending invitations — You can view and manage pending invitations that haven’t been accepted yet.
Accepting an invitation
If you’ve received an invitation to join a Workly workspace:
- Click the invitation link in your email
- If you’re already logged in, the invitation is accepted automatically and you’ll see a confirmation with the organisation and workspace name
- If you’re not logged in, you’ll be asked to sign in or create an account first — the invitation will be accepted as soon as you log in
After accepting, you’ll be taken directly to the workspace where you can start collaborating with your team.
